About the project

DentalPunkt runs four treatment rooms in Prenzlauer Berg and had grown entirely through word of mouth. Their old site was a single scrolling page from 2016, unreadable on a phone, with a contact form that landed in a mailbox nobody checked before noon. Two receptionists spent roughly three hours a day on the phone rescheduling appointments, and every missed call was a patient who booked somewhere else. We rebuilt the site around a three-step online booking flow, connected it to the practice management software, and added a German-speaking voice agent that answers overflow calls and books directly into the same calendar. Within six months online bookings covered more than half of all new appointments and the front desk got its mornings back.

What we did

  • Design

    We designed a calm, low-anxiety interface: soft mint accents, large type, and real photography of the team instead of stock dentistry. The booking flow was prototyped in Figma and tested with eight patients aged 24 to 71 before a single line of code was written. Every treatment page ends with the same clear next step, so nobody has to hunt for the button.

  • Development

    The site runs on Next.js with static treatment pages and a server-rendered booking module that talks to the practice management system over a secured middleware. Slot availability is pulled live, so a patient never books a time that is already taken. Hosting is in Frankfurt, and the whole patient data path is documented for the practice DPO.

  • AI Automation

    A German-language voice agent picks up every call the front desk cannot reach within four rings. It recognises the caller by number, offers the next three free slots, and writes the appointment into the same calendar the receptionists use. Anything clinical it does not understand is transcribed and routed to the practice inbox with a callback flag.

  • Accompaniment

    We run a fixed monthly scope: content updates for new treatments, quarterly performance audits, and monitoring of the booking integration. When the practice management vendor changed its API in early 2025, we migrated the connector over a weekend with no downtime.
