About the project

Taktflow sells shift and workforce planning software to mid-sized hospitality and healthcare operators in Switzerland and southern Germany. After a seed round they needed to move from a founder-led sales motion to something repeatable, but their website only offered a demo request that a founder answered personally. Trials did not exist, pricing was hidden, and the product had outgrown its own documentation. We rebuilt the marketing site, designed and shipped a self-serve trial with guided onboarding, opened up transparent pricing, and paired it with a content and search programme aimed at operations managers. Self-serve now produces 62 percent of new accounts and the founders spend their time on enterprise deals instead of first calls.

What we did

  • Development

    We built the trial environment with realistic seeded data, so a restaurant manager sees a plausible roster on the first screen instead of an empty grid. Sign-up, workspace provisioning and the guided tour are one flow with no email round trip. Marketing site and product share a design token pipeline, so a brand change propagates in one deploy.

  • Design

    We reworked the product story from feature list to three concrete operating problems: unplanned overtime, last-minute sickness cover, and payroll disputes. The pricing page names what a plan costs for 40, 120 and 400 employees, with no "contact us" tier below enterprise. The component library we handed over has cut their own feature design time roughly in half.

  • Advertising

    Search covers the vocabulary operations managers actually use — Dienstplan, Schichtplanung, Zeiterfassung — split by industry and by canton where labour rules differ. We run a modest LinkedIn programme against operations titles in hospitality groups and care providers. Reporting is on trials started and trial-to-paid, never on impressions.

  • AI Automation

    An in-product assistant answers setup questions from the documentation and can generate a first draft roster from an uploaded employee list and opening hours. Trial accounts that stall for 48 hours trigger a targeted nudge based on what the user has not yet done, not a generic drip email. Escalation to a human happens automatically once an account crosses a value threshold.

  • Accompaniment

    We work in a fortnightly rhythm with their product team: funnel review, one experiment shipped, one piece of content published. Uptime, trial conversion and search rankings sit on a shared dashboard that both sides look at in the same meeting.
